What this actually looks like day to day

If more than one of these lands, the tools have become the constraint rather than the help.

  1. Nobody knows who is about to lapse

    Renewal dates live in a column somebody has to sort by hand. A member who quietly stops coming in week three is invisible until the month they do not renew, which is the one month it is too late to save them.

  2. Diet and training plans are retyped from scratch

    A trainer rebuilds a plan in a document for every client, then sends it over WhatsApp where it is lost in the scroll. Nothing carries forward, so progress across three months cannot be seen in one place.

  3. Payment chasing eats the front desk

    Someone opens the sheet, works out who has not paid, and messages them one by one. It happens late, it happens inconsistently, and it is the least pleasant job in the building.

  4. Attendance data goes nowhere

    The door reader records every entry and none of it reaches the trainer, the owner or the member. The single best early-warning signal for churn is collected daily and thrown away.

  5. Payment screenshots are your accounting system

    Members pay by UPI and send a screenshot. Somebody matches those against the register by hand, then writes a receipt separately. Nothing reconciles automatically, and a missed screenshot is simply a missed payment.

Reminders go out on a schedule you set, by email or message, with a payment link. You get a dashboard of who is due, who has paid and who needs a phone call.

Attendance turned into a churn signal

Check-ins flow in from your existing reader or a simple kiosk. When a regular member's pattern drops off, the trainer gets a nudge while there is still time to do something about it.

UPI collection with receipts that reconcile

Members pay from a link and the payment lands against their record with a GST-compliant receipt issued automatically. No screenshots, and the month-end position is a screen rather than an afternoon.
