Vanvora

Off-the-shelf gym software assumes you are a gym. You are not, quite.

There is plenty of membership software, and most studios we meet have tried two of it. The problem is rarely a missing feature. It is that the product assumes a model — classes, or memberships, or personal training — and your studio is some combination the product will not hold.

What changes for gyms and fitness studios

  • Every pricing model on one member record
  • Plans built from templates and read on a phone
  • Renewal chasing that happens without the desk remembering
  • Lapsing members flagged while you can still win them back

What goes wrong in gyms and fitness studios

A studio running memberships, personal training packages, a nutrition service and a batch timetable at once has four pricing models and one member. Products handle one or two of those well, so the rest ends up in a spreadsheet beside the software, which is how a studio finishes with both a subscription and a manual register.

The plans make it worse. A trainer's diet and workout plan is the actual product a member is paying for, and in most systems it is a PDF attachment. So it gets rebuilt in a document for every client, sent over WhatsApp, lost in the scroll, and three months of progression cannot be seen in one place.

What this usually runs on today

  • An Excel or Google Sheets member register
  • WhatsApp groups for announcements and plan delivery
  • Diet and workout plans as documents or PDFs
  • A biometric door log nobody reads
  • Manual UPI or card collection at the desk

Recognise most of that list? It is the usual starting point.

What we build for gyms and fitness studios

The pieces specific to this pairing. Each is quoted separately, so you can start with one and see whether it earned its cost before committing to the next.

  1. 01

One member record across every model

Membership, PT package, nutrition plan and batch enrolment on the same member, with payment history, attendance, measurements and assigned trainer. Your front desk stops holding two systems in their head.

  2. 02

A plan builder trainers use willingly

Diet and workout plans assembled from reusable blocks, versioned over time, and opened by the member in their own login on their phone with nothing to install. Three months of progression readable as a sequence rather than as five attachments.

  3. 03

Dues and renewals on one dashboard

Who is due, who has paid, who needs a call — with reminders and a payment link going out on your schedule rather than when the desk finds an hour.

  4. 04

Attendance turned into an early warning

Check-ins from your existing reader or a simple kiosk, watched for the pattern break that precedes a lapse. The trainer gets a nudge in week three, which is the only week the save is still available.

Questions we get asked about this

If one fits your model, buy it — we will say so in the audit and help you set it up properly. The case for building is specific: you run several pricing models against one member, or the plan itself is the product you sell and no platform treats it as a first-class record. Absent one of those, a subscription is the better answer.

Usually. Most readers either export logs or expose an API, and where neither is available a tablet kiosk at the desk does the same job. This matters more than it sounds: attendance is the best churn signal a studio collects, and today it is collected daily and thrown away.

No. It is a web login that works on a phone, which is deliberate — a studio with three hundred members will not get three hundred app installs, and the plan a member cannot open is worth nothing. If an app later earns its place, the same system can serve it.
