Vanvora

Four registers, one student, and no way to see them together.

Enrolment is in one book, attendance in another, fees in a third and marks in a fourth. Answering a parent's simple question means opening all four, and no single view of a student exists anywhere.

What changes for schools and coaching centres

  • One student record covering enrolment, attendance, fees and results
  • A live dues position instead of a monthly ledger read
  • Instalments, discounts and mid-term changes handled properly
  • Enquiries followed up on a schedule rather than lost

What goes wrong in schools and coaching centres

A coaching centre's records are organised by process rather than by student, which is how they grew and why they do not answer questions. Enrolment, attendance, fees and results were each solved separately at the moment they became painful, so the thing the business actually cares about — how is this student doing, and are they paid up — has no home.

Fees make the cost concrete. Instalment plans, sibling discounts, part payments and a batch change mid-term are ordinary in this sector and awkward in a ledger, so the monthly dues position is worked out by reading rather than by looking. That work happens late, which means the reminders happen late too.

What this usually runs on today

  • Paper or form-based admission enquiries
  • An attendance register per batch
  • A fee ledger in a book or spreadsheet
  • Parent and student WhatsApp groups
  • Marks and results in separate sheets per test

Recognise most of that list? It is the usual starting point.

What we build for schools and coaching centres

The pieces specific to this pairing. Each is quoted separately, so you can start with one and see whether it earned its cost before committing to the next.

  1. 01

One student record, enquiry to certificate

Enquiry source, enrolment, batch, attendance, fees paid and outstanding, assessments and certificates in a single view. The question about one student takes one screen.

  2. 02

Fees that handle how you actually charge

Instalment schedules, sibling and scholarship discounts, part payments and mid-term batch changes, with a live dues position instead of a monthly ledger read. Reminders and payment links follow from it automatically.

  3. 03

Batches, timetables and attendance joined up

Attendance taken against the batch on a phone or tablet, feeding both the parent's view and the centre's occupancy picture. Which batch is under-filled becomes visible while you can still merge or promote it.

  4. 04

    Enquiries tracked to a decision

Every enquiry becomes a record with an owner, a follow-up date and an outcome. The most winnable admissions are lost to a missing follow-up list, not to price.

Questions we get asked about this

That is the ordinary case, and handling it is most of the reason to build rather than buy. Multi-batch, multi-shift enrolment where a student attends two subjects on different timetables is exactly where generic school software starts needing a spreadsheet beside it.

As much or as little as you choose, per field. Some centres publish attendance and fee status but keep marks for a conversation, which is a defensible position and the system should not argue with it. What is shared is your decision, and it is enforced rather than left to who has the link.

Current students and the history you actually refer to get migrated; the rest is archived as searchable records or kept as a labelled export. Bringing across a decade of registers nobody will open again makes the project larger, slower and riskier for no benefit.
